Letterhead in Word Keeps Moving: Root Causes and a Permanent Fix

Your logo prints perfectly on your office laser printer. A colleague opens the same file on their machine and the artwork drifts two centimeters down the page. Send it to a client's inkjet and the header overlaps the first line of body text. The file never changed. The problem is not the printer, not entirely, and blaming the hardware means you will never actually fix it.

This article walks through every reason letterhead in Word keeps moving, explains the geometry behind each one, and gives you a concrete sequence that ends with artwork locked in place no matter which printer the file hits.

Why Letterhead in Word Keeps Moving (It's Not the Printer's Fault Alone)

Word is a word processor. It was built to flow text, not to hold pixel-precise artwork in a fixed position on a physical page. When a logo or decorative border lives outside the header region, or inside it but configured incorrectly, Word treats it as content that can shift as surrounding elements change.

Printer drivers compound this by reporting different "printable area" boundaries to Word. Word reads those boundaries and adjusts. Your artwork moves.

The two problems are separate but they interact. If your image placement is wrong, a printer offset will make the drift obvious. If your image placement is correct, even a large printer offset cannot move it. That is why the fix lives in how the file is built, not in how it is printed.

1. The image is in the document body, not the header.

This is the most common cause. If you insert a logo into the page body, even at the very top, Word treats it as part of the text layer. Any change in top margin, line spacing, or printer-reported page geometry pushes the image down with it. The image looks fixed until something changes, and something always eventually changes.

2. The image is in the header but set to "floating" with absolute positioning.

Word headers can contain floating objects. A floating object with absolute position values, say, "0.5 inches from page top", sounds precise, but that measurement is calculated from the boundary Word receives from the printer driver. Different drivers report different boundaries. The absolute number stays the same; the reference point shifts.

3. The image wrap is set to "In Front of Text" or "Behind Text."

These wrap settings take the image out of the normal document flow entirely and place it on a drawing layer. Objects on the drawing layer are positioned relative to the page or the margin, and that reference shifts with driver-reported geometry. They look right on screen and wrong in print.

4. The header distance from edge is inconsistent across machines.

Header distance ("from edge" in Word's Page Setup) controls how far from the physical paper edge the header region begins. If one machine has this set to 0.5 inches and another has it set at a different value because a prior user changed it, the header contents shift. The image moves even though the image settings are identical.

How Printer Driver Margin Offsets Make It Worse

Every printer driver tells Word the size of its unprintable margin, the strip around the page edge where the physical mechanism cannot lay down ink or toner. Consumer inkjets often claim a 0.12-inch unprintable margin on the top. Some laser printers claim 0.08 inches. A network copier might claim something different again.

Word uses this reported value to calculate where printable content starts. If your artwork is positioned relative to the page edge (as floating objects and drawing-layer objects are), Word shifts the artwork inward by the driver's reported margin. On the printer that reported the value you designed around, the artwork looks correct. On any other printer, it moves.

This is not a bug in Word and it is not a bug in the driver. It is a documentation problem: the file was never built in a way that insulates the artwork from this variability.

The fix is to put the artwork somewhere that does not respond to driver margin offsets, specifically, inside the Word header region, placed as an inline object. The header region has its own measured distance from the edge, set explicitly in Page Setup, and inline objects inside it do not respond to floating-position recalculations.

The Fix: Anchor Your Artwork Inside the Word Header

Here is the sequence that stops the movement permanently.

Step 1: Set your header distance from edge.

Open Page Setup (double-click the ruler, or Layout tab > Margins > Custom Margins > Layout tab). Set "Header from edge" to a value that gives your artwork room, typically 0.2 to 0.4 inches for a standard letterhead top. Write this number down. Every copy of this file on every machine needs this identical value.

Step 2: Open the header and delete any existing artwork.

Double-click the header area. Select everything in it. Delete it. Start clean.

Step 3: Insert your logo as an inline image.

With the cursor inside the header, go to Insert > Pictures. Insert the logo file. By default, Word may insert it as inline. Confirm this: select the image, go to Picture Format > Wrap Text > Inline with Text. This is the setting you want.

Step 4: Size and align the image using the header, not the page.

Use the picture size fields (Picture Format > Size) to set explicit width and height. Do not drag to resize. Dragging produces fractional pixel values that vary slightly across machines. Use the alignment buttons (Home > Paragraph > Center, Left, or Right) to position the image horizontally. Do not drag it left or right.

Step 5: Set the body margin to clear the header artwork.

Step 6: Save as .dotx, not .docx.

A .dotx file is a template. When someone opens it, Word creates a new document rather than editing the template itself. This prevents accidental overwrites of your carefully configured layout. Inline vs. Floating: Why Image Wrap Settings Matter

This is worth its own section because the terminology is confusing.

An inline image sits in the text stream like a large character. It moves only if text before it moves. In a header with no text before it, it does not move at all. It is the stable option.

A floating image has a text wrap setting other than "Inline with Text", Square, Tight, Through, Top and Bottom, In Front of Text, or Behind Text. Every floating setting positions the image relative to a reference point: the page, the margin, a paragraph, or a character. Of these, "relative to page" is the one most sensitive to printer driver offsets.

Most accidental floating happens when someone drags an image after inserting it. Dragging converts an inline image to floating automatically. Word does this silently. The image looks fine on screen. It moves on a different printer.

The rule is simple: if the image is in the header, it should be inline. Full stop. The header already fixes the image to the top of the page. You do not need floating positioning to do a job the header structure is already doing.

Lock It Once, Print It Anywhere

The promise in the heading is real, but it depends on one final step: protecting the header from editing.

Once your artwork is placed correctly, go to Review > Restrict Editing. Under "Editing restrictions," allow only "Filling in forms" or "Tracked changes" (whichever matches your workflow). Then, under "Start enforcement," click "Yes, Start Enforcing Protection" and set a password. This prevents anyone, including yourself on a rushed afternoon, from accidentally clicking into the header and dragging the logo.
