Word Page Margins for Letterhead: The Exact Settings That Stop Printer Clipping

Your letterhead looks perfect on screen. You print it, and the logo at the top is sliced in half. The footer address is gone entirely. Nothing in the file changed. The problem is not the artwork. The problem is a margin math conflict between Word, your letterhead design, and the physical printer sitting on your desk.

This guide explains why that clipping happens, which two numbers you need before you touch any setting, and the exact margin and header/footer values that keep letterhead artwork fully visible on paper.

Why Printers Clip Letterhead (It's a Margin Math Problem)

Every laser and inkjet printer has an unprintable zone around the edge of the page. This is a hardware constraint, not a software preference. Most desktop printers cannot reproduce ink closer than 0.17 inches (about 4 mm) to the physical paper edge. Some older or cheaper models require 0.25 inches or more. The printer driver enforces this zone whether Word knows about it or not.

Word has its own margin setting, which tells the document where the body text starts. But the header region sits above the top margin, and the footer sits below the bottom margin. Both can extend very close to the paper edge -- right into that unprintable zone if the numbers are not coordinated correctly.

When a designed letterhead places a logo bar at the top of the page, that artwork is often positioned 0.15 to 0.25 inches from the physical edge. The designer built the file for a print shop with a full-bleed press. A desktop printer cannot reproduce that. When Word sends the job, the printer silently clips anything that falls inside its hardware minimum. You lose the top of the logo, the bottom address line, or both.

This is not a flaw in the design. It is a failure to reconcile three separate measurements: where the designer put the artwork, where Word thinks the page starts, and where the printer physically stops printing.

The Two Margin Numbers You Must Know Before You Set Anything

Before you open the Page Setup dialog, find out two specific numbers.

1. Your printer's minimum unprintable margin. Print a test page from your printer's own utility software, or check the printer's spec sheet for "minimum margin" or "printable area." On most modern laser printers this is 0.17 inches on all four sides. On inkjets it is commonly 0.12 to 0.25 inches depending on the model. If you cannot find the spec, use 0.25 inches as a conservative working assumption.

2. Where your letterhead artwork starts and ends. Open the original design file or the source PDF and note the exact distance from the top paper edge to the bottom of the header artwork, and from the bottom paper edge to the top of the footer artwork. Your designer can give you these numbers in inches. If you only have the PDF, a tool like Adobe Acrobat's ruler or even a physical ruler on a printed proof will get you close enough.

With both numbers in hand, the rule is simple: every margin and header/footer distance you set in Word must be larger than the printer's unprintable minimum, and must clear the letterhead artwork so body text does not print on top of it.

These settings work for the vast majority of desktop printers and standard professionally designed letterheads. Adjust them upward if your printer's unprintable zone is larger than 0.25 inches, or if your artwork extends further into the page.

The top and bottom margins are intentionally generous. A 1.5-inch top margin keeps body text well below a standard letterhead logo block. A 1.2-inch bottom margin protects a typical two-line address footer from being overrun by long letters. Left and right margins follow common legal and business conventions.

The header/footer "distance from edge" values (0.3 in / 8 mm) sit comfortably above most printers' hardware minimums while still giving the artwork room to breathe. If your design's artwork starts at 0.15 inches from the edge, and your printer needs 0.17 inches, your artwork is already in trouble before Word is even involved. In that case, the correct fix is to ask your designer to rebuild the artwork with a safe-zone offset, not to fight the printer setting.

How to Set Margins in Word Without Moving Your Header Artwork

This is where most people make the mistake. They adjust the top margin and the header artwork shifts or disappears because the "header distance from edge" setting was not adjusted at the same time. These two numbers must move together.

  1. Go to Layout (or Page Layout) > Margins > Custom Margins.
  2. On the Margins tab, set Top, Bottom, Left, and Right to your target values.
  3. Click the Layout tab within the same dialog.
  4. Set Header (distance from top edge) and Footer (distance from bottom edge) to 0.3 in or 8 mm.
  5. Click OK.

Now open the header by double-clicking in the header area. The header container's top edge should align with or slightly clear the bottom of your letterhead artwork. If the artwork is embedded as an image in the header, check that its position is set to "absolute" vertical positioning relative to the page edge, not relative to the margin. In Word, right-click the image > Size and Position > Position tab > set vertical position relative to Page rather than Margin. This prevents the image from jumping when you change margin values.

If your template was built by Letterhead Lab, the header image is already anchored to the page edge, so changing the body margin will not shift the artwork.

Testing Before You Send: The Print Preview and Boundary Check

Do not trust the screen alone. Run these two checks before you finalize any template.

Print Preview check. Go to File > Print. Zoom in to the top and bottom of the page. If the artwork appears cropped in the preview, the issue is in the Word file settings or the artwork placement -- fix it there before printing.

Print boundary check. Go to File > Options > Advanced, scroll to Show document content, and enable Show text boundaries. A dotted border will appear in the document showing exactly where Word's printable area begins. Your header artwork should sit above this border (inside the header region). Body text should not start until well below the bottom edge of the artwork.

Physical test print. Print one page to the actual printer you plan to use. Measure the output. If the top of the logo is clipped even a millimeter, increase the header distance from edge by 0.05 inches and reprint. Do this before distributing a template to staff.

When Margins Are Correct but the Letterhead Still Looks Wrong

If your margins and header distances are set correctly and you still see problems, the cause is usually one of three things.

The artwork resolution is too low. A logo exported at 72 dpi for screen use will look blurry or pixelated in print. The header image should be at least 150 dpi at the size it is displayed; 300 dpi is better for crisp output on laser printers.

The artwork is placed in the body, not the header. If the letterhead image is sitting in the main document body rather than anchored inside the Word header container, it will move as text is added and will not repeat on subsequent pages. The original PDF was never meant for desktop printing. Some letterhead PDFs are designed for commercial offset printing with full-bleed artwork that extends to the paper edge. A desktop printer cannot reproduce full-bleed output on cut-sheet paper.
