Letterhead Image Resolution Word: Why Logos Go Blurry and How to Fix It

Your letterhead logo looks sharp on screen. You drop it into the Word header, print the letter, and the result is a soft, muddy smear where the crest or wordmark should be. The file did not change. The printer did not malfunction. The problem was baked in before the artwork ever touched Word.

Why Your Screen Lies to You About Resolution

Monitors display images at 96 DPI on Windows or 72 DPI on older Mac standards. A logo that looks crisp at that scale can print at an effective resolution three to four times too low. The pixels become visible as jagged edges and blurred gradients. A printer lays ink on paper at a much finer scale than a screen lights up pixels, and the human eye reading a printed page is three to six inches away, not two feet.

Here is what the math looks like for a logo printed at 2 inches wide:

If your source file is 192 pixels wide and you ask the printer to produce 300 DPI output, Word and the printer driver invent the missing pixels by guessing. That guess is called interpolation, and it produces the blur you see on paper. Getting letterhead image resolution Word settings right before insertion is the only reliable way to avoid this.

Where Word Stores Letterhead Artwork

When you place an image in a Word header, Word embeds a copy of that file inside the .docx or .dotx container. Whatever resolution the image has at insertion is the resolution the document carries forever.

Word also applies its own compression by default. Go to File > Options > Advanced > Image Size and Quality and you will find a "Default resolution" setting that may be capped at 220 PPI. If your source artwork is 300 DPI and Word quietly resamples it down, you lose quality before the printer even receives the job. Change this setting before insertion: set default resolution to "High fidelity" or at minimum 300 PPI, and check the box to not compress images in this file.

What Resolution Your Source File Needs

The short answer: 300 DPI at the intended print size, minimum. For fine lines, small type, or intricate crests, 600 DPI is a safer floor.

Raster files (PNG, TIFF, JPEG): Resolution is fixed at export. A PNG saved at 96 DPI cannot be made sharper by resizing. Ask your designer for a high-resolution export, not a screen-ready file. TIFF or PNG at 600 DPI is the right format for a letterhead logo going into a Word header.

Vector files (SVG, EPS, AI, PDF with vector art): Resolution is not fixed. A vector file can be rendered at any DPI because the shapes are described mathematically, not as a pixel grid. This is one reason a properly prepared PDF letterhead converts cleanly into a Word header, while a low-resolution raster export does not. How to Check and Fix Resolution Before It Reaches the Header

  • Check in Photoshop or Preview: Go to Image > Image Size (Photoshop) or Tools > Adjust Size (Preview on Mac). Read the resolution at the intended print dimensions.
  • Check in Acrobat: Use the Output Preview or Print Production panel to inspect embedded image resolution. Anything below 300 PPI at print size is a problem.
  • Fix at the source, not in Word: Upsampling inside Word does not add real detail. Export the artwork again from the original design application at 600 DPI, PNG or TIFF, at the exact size it will appear on the page.
  • Disable Word's image compression: File > Options > Advanced > Image Size and Quality. Check "Do not compress images in this file" and set default resolution to 330 PPI or higher. This is the single most overlooked letterhead image resolution Word setting.
  • Use a transparent PNG, not a JPEG: JPEG compression introduces artifacts that are invisible on screen and visible in print.
