This is the agency-side problem, not the client-side one. The firm-side version of it — one client updating their own Word letterhead after a rebrand — lives at letterhead after a rebrand.

The agency-side problem is different: a single agency is shipping a refreshed identity across an entire roster of clients, or across several offices of one client, in one rollout.

The launch date is fixed. The new letterheads are designed. The print PDFs are signed off. And then the question lands: who is producing the Word versions for everyone?

Without a system, the answer is “the studio, eventually, one by one, over the following months,” which means every client sits on the new printed letterhead but keeps writing letters on the old Word version until somebody gets to them. A rebrand the agency just charged for is half-deployed for a quarter, and the half that is visible in every letter is the old one.
